How to Estimate the Per-Student Cost of a School Uniform Programme

When a school reviews its uniform programme, the first question from trustees is usually simple: what does a full set cost per student? The honest answer depends on more than the price of a shirt. This guide shows how to build a realistic per-student figure that holds up through the academic year.

Start with the garment list, not the price list

List every item a student actually needs across the year, with quantities. A typical day-school set includes:

  • Shirts or blouses (usually 3–4 per student)
  • Trousers, skirts or pinafores (2–3)
  • House or PT t-shirts and track pants
  • Winter layers: sweater, blazer or jacket
  • Accessories: tie, belt, socks, badges

Multiply each item by its unit price. This is your base set cost.

Add the costs that usually get missed

  • Size spread: larger sizes use more fabric and often cost more. Price your actual size mix, not only the median size.
  • Mid-year replacements: younger students outgrow and wear out garments faster. Budget a replacement allowance for the junior wing.
  • Branding: embroidered crests and house colours add a per-piece cost.
  • Distribution: counter staffing, packing, or doorstep delivery all carry a cost somewhere.

Look at cost per wear, not cost per piece

A cheaper shirt that fades or pills in one term is more expensive than a better one that lasts the year. Ask suppliers about fabric weight, blend and wash performance. Our guide to choosing school uniform fabric explains the trade-offs.

A simple worksheet

  1. Base set cost (items × quantities × unit price)
  2. + size-mix adjustment
  3. + replacement allowance
  4. + branding and accessories
  5. + distribution cost per student
  6. = realistic per-student annual cost

Share this worksheet with your committee. It makes supplier quotes far easier to compare like for like.

Frequently asked questions

Should the school or parents bear distribution costs?

Either works, but decide upfront and state it clearly in parent communication so there are no surprises.

How often should we re-run this calculation?

Once a year, before the procurement cycle starts, and whenever fabric or design changes.
